Tasks can be done in different sequences and concurrently with each other. For example, you do not have to stop working on one work order when you must divert to another work order or service request.

Parts Inventory Control

The MaintScape Parts Inventory Control optional module lets you track quantities of inventory controlled parts at designated part locations. It is also used by the MaintScape purchasing optional module to receive and return items, even items that are not a parts under inventory control.

All MaintScape parts inventory is tracked relative to part locations. Part locations are set up and viewed in the MaintScape Explorer, as is shown in the screen print on the right.

The sample screen print shows part "Bearing 23" is in bin "B2" in row "R1" in stock room "SR1". Further, it shows that 9 units of "Bearing 23" are available, and the minimum and maximum stocking levels are 6 and 30 respectively.

The MaintScape Explorer is an excellent tool for browsing the contents of your parts rooms. Use the Part Search window to look for parts by other means, such as by class, name, vendor, etc. Click here for more information on MaintScape search windows.

The sample part window shows more inventory detail for part "Bearing 23". In particular, the Inventory Summary group at the top of the screen print shows:

  • Quantity available of 9 is equal to quantity on hand less quantity committed to open work orders less quantity otherwise reserved.
  • Quantity pending of 21 is the quantity available plus 12 units on issued purchase orders.
  • Quantity planned includes quantities on purchase orders or requisitions that are not yet issued. There is no such quantity in this example.

The "Inventory Locations" list at the bottom lets you view and set up one or more storage locations for the part. Inventory is tracked at each location, and you can transfer quantities from one location to another. This is particularly useful when each location is at a separate site when using MaintScape's multi-site optional module.

All inventory quantity changes are supported by permanent and auditable inventory transaction records.

MaintScape creates some inventory transactions automatically - for example, an "issue parts to work order" inventory transaction is created to reduce inventory when a work order closes.

"Receipt" Inventory Transactions:

"Receipt" inventory transactions receive quantities of inventory controlled parts into inventory. Inventory transactions of type "Receipt" (and "Return") can also be created for parts not under inventory control, and for items that are not even parts. This is because this screen is used in a consistent manner to receive any type of item on a MaintScape purchase requisition or purchase order.

Receipt transactions can be entered manually, or receiving can be done directly from a MaintScape purchase requisition or purchase order. If so, MaintScape creates a receipt inventory transaction that matches to the PR or PO item. The PR or PO item is then marked as fully (or partially) received.

You can specify costs in foreign currencies if the Multiple Currency optional module is enabled.

Receipt inventory transactions can also be created using the MaintScape Bar Coding optional module.
