The network version of MaintScape supports automatic database backup. Please be sure the backup goes to a separate disk, or is backed up to tape, to protect yourself against disk failure.

MaintScape Collections

MaintScape Collections are files that list one or more things you can see or do in MaintScape. More specifically, collection items can be either:

  • MaintScape objects such as "Work Order: 123", "Equipment: Boiler1".
  • MaintScape queries created in MaintScape search windows such as "Overdue work orders", "Parts to re-order".

MaintScape collections can contain both object and query items. In either case, double-clicking the collection item displays the referenced object or runs the query. For example:

  • Double clicking collection item "Work Order: 123" displays the work order in the work order window.
  • Double clicking collection item "Overdue work orders" displays the list of overdue work orders in the work order search window.

MaintScape collections are very general things. Here are some of the things you can do with them:

  • You can create a collection of queries that you run all of the time in MaintScape. For example, "show me my work orders for the next week".
  • You can create a collection of individual work orders that you want a craftsman to do, and email it to him. The craftsman can double-click the email attachment to see his work orders in MaintScape.
  • MaintScape collections integrate with certain MaintScape functionality, including:
    • Your set of Today's Status statistics are determined by the queries in a collection.
    • You can drive MaintScape reports from the set of items in a collection. This is useful when the items you wish to report on are not easily returned by a standard query.

As mentioned, MaintScape collections are files stored either on your computer or on the network. Double-clicking the collection will start MaintScape if necessary, and do one of the following:

  • If the collection contains only one item, such as query "Overdue work orders", MaintScape will immediately show you these work orders in the work order search window.
  • If the collection contains more than one item, MaintScape will show you the collection itself. You can then double-click on any item to activate it.

To enhance MaintScape ease-of-use, many customers place collection files (or shortcuts to collection files) on user desktops. For example, you can configure a craftsman's computer with a desktop icon (collection) to immediately show him his current work orders.
